1. Legal information
These are the General Terms and Conditions for the activities of ‘Ostend Hub’, operated by Canyon Clan VOF, with registered office at 8400 Ostend, Wandelaarkaai 7/62, registered with the Crossroads Bank for Enterprises (CBE) under number BE1004.152.314, hereinafter referred to as ‘Ostend Hub’.
2. Activity
Ostend Hub is a coworking space located in the port of Ostend. You can visit us for coworking, renting meeting rooms, and event spaces.
3. Scope
These terms and conditions apply to all services offered by Ostend Hub, including coworking and the rental of meeting and event spaces.
4. Acceptance of terms
By using the services of Ostend Hub, the client accepts these General Terms and Conditions. Any contradictory terms of the client are only applicable if they have been accepted in advance and in writing by Ostend Hub.
5. Formation of the agreement
The agreement comes into effect as soon as the client makes a booking or as soon as the service provision begins.
6. Pricing
Pricing is determined per service and clearly communicated via the website and/or newsletter.
7. Extra services and costs
Any additional services or extra costs will be discussed in advance. Ostend Hub maintains a transparent approach ensuring the client always has full insight into the costs.
8. Bookings
Bookings can be made via the website (www.ostendhub.be), via email (info@ostendhub.be), or by telephone.
Coworking:
- Monthly membership
- Annual membership
- Punch pass
Meeting rooms:
- Small meeting room (max. 10 persons)
- Large meeting room (max. 20 persons)
Event spaces:
- Small event space (max. 80 persons)
- Large event space (max. 300 persons)
9. Reservations and payments
Reservations
Reservations must be made prior to the start of the service provision.
Payments
Invoices are payable within 14 days of the invoice date, unless agreed otherwise.
In the event of late payment, interest shall be due by operation of law and without formal notice in accordance with statutory interest rates, as well as a fixed indemnity of 10% of the outstanding amount, with a minimum of €50.
10. Cancellation and no-shows
Coworking
Cancellation does not apply.
Meeting and event spaces
- Without catering: cancellation possible up to 1 day in advance
- With catering: cancellation possible up to at least 1 week in advance
No-shows
In case of a no-show, the full rental fee will be charged.
If catering was arranged, an additional 30% of the catering amount will be charged.
11. Use of the spaces
Users must abide by the house rules: https://www.ostendhub.be/en/house-rules
General:
- Leave spaces clean and tidy
- Do not cause a nuisance
- Treat materials and equipment with care
Meeting and event spaces:
- Leave spaces clean and tidy
- Treat materials and equipment with care
- Damage, loss, or misuse will be billed to the client
12. Damage and security deposit
Ostend Hub reserves the right to request a security deposit. Damage, loss, or extra cleaning costs will be deducted from the deposit or billed additionally.
13. Usage hours
The agreed time slots must be strictly respected. Exceeding them may result in additional charges.
14. Use by third parties
It is not permitted to sublease or make spaces available to third parties without prior written consent from Ostend Hub.
15. Insurance
The user is personally responsible for taking out the necessary insurance policies, such as civil liability, for activities conducted on the premises.
16. Liability
Ostend Hub is not liable for:
- Loss, theft, or damage to personal property
- Interruptions of services (such as internet)
- Indirect or consequential damages
17. Conduct and safety
Ostend Hub reserves the right to refuse or terminate access in the event of:
- Disruptive or disrespectful behavior
- Non-compliance with these terms
- Safety risks
18. Force majeure
Ostend Hub is not liable for non-performance or late performance of obligations in cases of force majeure, such as fire, water damage, strikes, pandemics, governmental measures, technical malfunctions, or utility outages.
In such cases, the agreement may be suspended or canceled without liability for compensation.
19. Intellectual property
All content on the website (texts, logos, images) is the property of Ostend Hub and may not be used without authorization.
20. Privacy
Personal data is processed in accordance with the GDPR and the privacy policy on the website. Data is used for administration, communication, and service provision.
21. Amendments
Ostend Hub may amend these terms at any time. The most recent version is always applicable and available via the website.
22. Severability
If one or more provisions are found to be invalid or unenforceable, the remaining provisions shall remain fully in force.
23. Applicable law
Belgian law applies to these terms and conditions. In the event of disputes, the Enterprise Court of Ghent, Ostend division, shall have exclusive jurisdiction.
