General terms and conditions – Ostend Hub

1. Who are we?

Ostend Hub is operated by Canyon Clan VOF, with registered office at Wandelaarkaai 7/62, 8400 Ostend, and registered in the Crossroads Bank for Enterprises under number BE 1004.152.314.
In these terms and conditions Canyon Clan VOF will be further referred to as “Ostend Hub”.

2. What does Ostend Hub do?

Ostend Hub is a coworking space located in the port of Ostend.
Users can go there for:

  • coworking (flexible workspaces and subscriptions),
  • renting meeting rooms,
  • renting event spaces.

3. Applicability of these conditions

These general terms and conditions apply to all services and reservations at Ostend Hub, regardless of whether the reservation is made via the website, e-mail or telephone.

By making a reservation or using the spaces, the customer fully accepts these conditions.
Deviating or own terms and conditions of the customer are only valid if Ostend Hub agrees with these expressly and in writing has accepted.

4. Conclusion of the agreement

The agreement is concluded as soon as:

  • a reservation is confirmed, or
  • the customer effectively uses the coworking space or a space.

5. Prices and costs

The applicable prices are clearly communicated via:

  • the website,
  • quote,
  • or written confirmation.

All prices are exclusive of VAT unless otherwise stated.

Any additional services or additional costs (e.g. catering, extra materials, extended rental) will be charged always discussed in advance, so that the customer has a clear overview of the costs at any time.

6. Bookings and reservations

Reservations can be made:

Reservations must always be made before use.

Coworking

Coworking can be booked via:

  • monthly subscriptions (with variable duration),
  • annual subscriptions.

Meeting rooms

  • Small meeting room: up to 10 people
  • Large meeting room: up to 20 people

Event spaces

  • Small event space: up to 80 people
  • Large event space: up to 300 people

7. Payment and invoicing

The customer receives an invoice according to the agreed formula (monthly or per reservation).
Invoices must be paid within the stated payment term.

In case of late payment, Ostend Hub reserves the right to temporarily suspend further access to the services.

8. Cancellations and no-shows

Coworking

Cancellation is not applicable on coworking subscriptions.

Meeting and event rooms

  • Without catering: free cancellation until 24 hours in advance
  • With catering: free cancellation until 7 days in advance

No-show

In case of no-show without a valid cancellation:

  • becomes the full rental price charged for the space,
  • in catering it is 100% of the catering costs charged,
  • on top of the catering cost a additional compensation from 30% charged.

9. Use of the spaces

Coworking, meeting and event spaces

The user agrees to:

  • to leave the rooms neat and tidy,
  • not to cause any nuisance to other users,
  • to use materials and infrastructure with care.

Damage, loss or misuse of material or infrastructure may be fully charged to the user.

10. Liability

Ostend Hub is not liable for:

  • loss, theft or damage to personal property,
  • temporary interruptions of services (such as internet or electricity),
  • indirect or consequential damage.

The user remains responsible for his/her materials, activities and visitors.

11. Behavior and safety

Ostend Hub reserves the right to refuse or terminate access to:

  • disruptive, disrespectful or inappropriate behavior,
  • failure to comply with these terms and conditions,
  • situations that pose a safety risk to others or the infrastructure.

In such cases no refund is due.

12. Intellectual property

All content on the website and in communications (texts, logos, images) is the property of Ostend Hub and may not be used or copied without prior written permission.

13. Privacy

Personal data are processed in accordance with applicable privacy legislation (GDPR).

14. Changes

Ostend Hub may amend these terms and conditions at any time.
The most recent version is always available via www.ostendhub.be and applies automatically.

15. Applicable law and competent court

These general terms and conditions apply Belgian law applicable.
In case of disputes, only the courts of the district will have jurisdiction West Flanders competent, Ostend department.
