1. Legal information
These are the General Terms and Conditions for the activities of 'Ostend Hub', operated by Canyon Clan VOF, with registered office at 8400 Ostend, Wandelaarkaai 7/62, registered with the Crossroads Bank for Enterprises (KBO) under number BE1004.152.314, hereinafter referred to as 'Ostend Hub'.
2. Activity
Ostend Hub is a coworking space located in the port of Ostend. You can go there for coworking, renting meeting rooms, and event spaces.
3. Scope
These terms and conditions apply to all services offered by Ostend Hub, including coworking and the rental of meeting and event spaces.
4. Acceptance of the terms and conditions
By using the services of Ostend Hub, the customer accepts these General Terms and Conditions. Any own terms and conditions of the customer shall only apply if they have been accepted in writing and in advance by Ostend Hub.
5. Conclusion of the agreement
The agreement is concluded as soon as the customer makes a booking or as soon as the service commences.
6. Prices
Pricing is determined per service and clearly communicated via the website and/or newsletter.
7. Additional services and costs
Any additional services or extra costs will be discussed in advance. Ostend Hub employs a transparent approach in which the client always has insight into the costs.
8. Bookings
Bookings can be made via the website (www.ostendhub.be), via e-mail (info@ostendhub.be) or by telephone.
Coworking:
- Monthly subscription
- Annual subscription
- Punch card
Meeting rooms:
- Small meeting room (max. 10 people)
- Large meeting room (max. 20 people)
Event spaces:
- Small event space (max. 80 people)
- Large event space (max. 300 people)
9. Reservations and payments
Reservations
Reservations must be made before the start of the service.
Payments
Invoices are payable within 14 days of the invoice date, unless otherwise agreed.
In the event of late payment, interest is due by operation of law and without notice of default in accordance with the statutory interest rate, as well as fixed compensation of 10% of the outstanding amount, with a minimum of €50.
10. Cancellation and no-shows
Coworking
Cancellation does not apply.
Meeting and event rooms
- Without catering: cancellation possible up to 1 day in advance
- With catering: cancellation possible up to at least 1 week in advance
No-shows
In the event of a no-show, the full rental price will be charged.
If catering was provided, an additional 30% will be charged on the catering amount.
11. Use of the spaces
Users must abide by the house rules: https://www.ostendhub.be/huisregels
General:
- Leave spaces clean
- Do not cause a nuisance
- Handle material with care
Meeting and event rooms:
- Leave spaces clean
- Handle material with care
- Damage, loss, or misuse will be passed on.
12. Damage and warranty
Ostend Hub reserves the right to request a deposit. Damage, loss, or additional cleaning costs will be deducted from the deposit or invoiced separately.
13. Usage times
The agreed time slots must be respected. Exceeding them may result in additional costs.
14. Use by third parties
It is not permitted to sublet spaces or make them available to third parties without prior written permission from Ostend Hub.
15. Insurance
The user is personally responsible for taking out the necessary insurance, such as civil liability, for activities in the premises.
16. Liability
Ostend Hub is not liable for:
- Loss, theft or damage to personal property
- Interruptions of services (such as internet)
- Indirect damage or consequential damage
17. Behavior and safety
Ostend Hub reserves the right to refuse or terminate access in the event of:
- Disruptive or disrespectful behavior
- Non-compliance with these conditions
- Safety risks
18. Force Majeure
Ostend Hub is not liable for the non-performance or late performance of obligations in the event of force majeure, such as fire, water damage, strikes, pandemics, government measures, technical malfunctions, or utility outages.
In such cases, the agreement may be suspended or cancelled without compensation.
19. Intellectual property
All content on the website (texts, logos, images) is the property of Ostend Hub and may not be used without permission.
20. Privacy
Personal data is processed in accordance with the GDPR and the privacy policy on the website. Data is used for administration, communication, and service provision.
21. Amendments
Ostend Hub may amend these terms and conditions at any time. The most recent version is always applicable and available via the website.
22. Invalidity of provisions
If one or more provisions are invalid or unenforceable, the remaining provisions shall remain in full force and effect.
23. Applicable law
These terms and conditions are governed by Belgian law. In the event of disputes, the Commercial Court of Ghent, Ostend division, shall have exclusive jurisdiction.
